Who Is an Estonian Business Visa For?

An Estonian business visa is a short-stay Schengen type C visa used for meetings, company visits, trade fairs, conferences and contract negotiations. Turkish citizens applying from Türkiye with ordinary passports generally need a visa unless they already hold a valid visa or qualify for an exemption. Holders of special, service or diplomatic passports should check the exemption conditions applicable to their passport and visit.

Short stays are limited to 90 days in any 180-day period across the Schengen area, including previous visits. Attending business meetings is not the same as taking up employment. Paid work, delivering services or accepting a longer assignment may require separate authorization, even when the trip is described as business travel.

Application Requirements

Estonia must be your only destination or your main destination based on the length or purpose of your stay. If no main destination can be identified and stays are equal, the country of first entry may determine where to apply. Choosing Estonia simply because an earlier appointment is available is not an appropriate basis for an application.

Your documents should explain the business purpose, funding arrangements and reasons for returning to Türkiye. The invitation should identify the host company, provide contact details and describe the planned activities and dates. If the host covers expenses, this should be stated clearly. Your employer's travel assignment letter should match the invitation and itinerary.

  • Your passport must have been issued within the previous ten years, contain at least two blank pages and remain valid for at least three months after your intended Schengen departure.
  • Travel medical insurance must cover the entire stay throughout the Schengen area, with minimum coverage of EUR 30,000.
  • Accommodation, transport and financial evidence must support a credible itinerary.
  • Employment and income information must be consistent across the application.

Application Steps

Start by checking whether your passport or an existing Schengen visa already permits the intended visit. Confirm the current submission arrangements for applicants in Türkiye through official Estonian consular information. An authorized application centre may collect documents and biometrics, but the competent consular authority decides the application.

  1. Confirm the invitation, business activities and travel dates.
  2. Complete the application form and prepare documents for your employment status.
  3. Book an appointment through the currently designated channel.
  4. Submit the file, pay the applicable charges and provide biometrics if required.
  5. Respond to additional requests and check the visa details when your passport is returned.

Employees, company owners and self-employed applicants may need different supporting records. Check the current checklist for document freshness, translations and accepted formats. Reservations must be genuine and verifiable. Non-refundable bookings made before a decision can create avoidable financial exposure.

Appointments and Biometrics

Appointment availability depends on demand and local capacity. An approaching meeting does not automatically entitle you to priority handling. Applications can generally be lodged up to six months before travel. Allow separately for the time needed to obtain an appointment.

Fingerprints and a compliant photograph are normally required. Previously collected Schengen fingerprints may be reused within 59 months where the relevant conditions are met. Fresh fingerprints may still be requested if records cannot be retrieved or identity checks require them. Having fingerprints on file does not always remove the need to attend in person. Age-related and physical exemptions are assessed separately.

Processing Time

A short-stay application that is admissible for examination is normally processed in approximately 15 calendar days. Further checks, additional documents or an interview can extend examination to approximately 45 calendar days. These are planning benchmarks rather than a promise of a decision by a particular date. Appointment waiting time and passport delivery are separate.

Applying close to departure increases the risk of missing the planned event. Public holidays and busy periods can also affect arrangements. A tracking update showing that an application is being processed does not indicate approval.

Reasons for Refusal

Possible refusal grounds include an unclear business purpose, an unverifiable invitation, insufficient funds, unsuitable insurance or conflicting documents. Reasonable doubts about whether the applicant will leave before the permitted stay ends, and previous visa violations, can also affect the assessment. A complete-looking file does not by itself establish eligibility.

If refused, review the official notice carefully. Any appeal route, deadline and procedural requirements should be checked against that notice. Before reapplying, address the stated concerns with relevant evidence rather than resubmitting an unchanged file.

  • Trade fair registration, conference ticket, meeting agenda or business correspondence supporting the purpose of the visit.
